Maintenance and Security

The board (or committee) members of a community group or organisation responsible for the running of a premises that they own (or lease) will have a duty to ensure that it is well maintained and secure, and that it is a safe and healthy place to work in. It also needs to be accessible.

Maintenance of a building includes day-to-day cleaning and tidying but it also includes the fabric of the building, making sure it is weather proof and energy efficient. Many older buildings can suffer from inadequate insulation and heating making them costly to run and uninviting to use. It is your board members’ responsibility to manage these problems and to identify and implement solutions wherever possible.

Maintenance checks

Pre-empting major and potentially expensive repairs is crucial to effective maintenance. Schedule and arrange regular checks by suitably qualified contractors on:-

  • all moveable electrical appliances (Portable Appliance Testing)
  • smoke alarms and fire alarms
  • fire equipment
  • heating/lighting systems 
  • security alarms

Routine Maintenance 

Be prepared to respond quickly to things like dripping taps, small leaks, tears to the fabric of chairs, wobbly legs on tables etc.  Keeping things clean and tidy will also contribute towards the longevity of the building:-

  • make sure anyone using the building leaves it clean and tidy
  • empty bins regularly
  • maintain adequate supplies of cleaning materials and keep them in a safe place
  • discourage the use of adhesive tape (or similar) on walls and woodwork
